DataMapper: Add names
As an admin in DataMapper you have the possibility to add names to have your scan come out even more specific. Why add names? DataMapper identifies risk of potential sensitive personal data by searching for names in combination with keywords related to race and ethnic origin, political beliefs, religious or philosophical beliefs, trade union affiliation, health information, sexual relationships or sexual orientation.
We have compiled a short step-by-step guide on how to set-up names. To do this you might need your IT administrator to assist you in the first few steps to retrieve the list, in case you do not have access to the admin center 🙂
Step 1: Log on to Office365 Admin Center / Microsoft Admin Center
Click the following link or share with your admin to access the list: https://admin.microsoft.com/Adminportal/Home#/users
When you have logged on you should go to Users and then Active users from the menu on the left as shown here ⬇️
Step 2: Export the list of active users
When you have accessed the overview on active users - the next step should be to Export users. Click on Export users - shortly after a download will begin. The file downloaded will be in .csv format.
Step 3: Open the file
After download it is now time to open the file. Choose your preferred program and then focus on the column named "DISPLAY NAME". This is where you should see First name and Last Name. Any emails/users with obscure names that do not contain a first name and a last name should be removed from the list you copy to DataMapper.
Step 4: Copy the column "DISPLAY NAME"
Go ahead and copy the full column of "DISPLAY NAME". Click on top of the column (if it's marked in D - click on the letter D). This way you make sure to have it all copied. Then right-click on your mouse and choose "copy" or use CTRL + C by holding the keys down at the same time. Are you a mac user then do the same with the mouse, but on the keys you should look for COMMAND + C.
Step 5: Insert the list of names into DataMapper
Log onto DataMapper / Open DataMapper in your browser. Click on "Names" on the left side menu.
Click anywhere in the large field that says "type or paste names here.." and paste the names copied from your sheet here. Remember to click Save changes.
For a short while DataMapper will update the databases to make sure names are added to the search. You should come back to DataMapper to check results in risk documents table after a few days.
Step 6: Remove names
If you see any names that are not full names (as mentioned before you should get rid of any obscure names that do not contain a first and last name) by clicking the small cross. The same goes if any of the names pasted are no longer working in your company and by that does not make sense to search for. Remember to click save changes again.
