DataMapper: Configuration for risk keywords & names (Admin)
Instructions for Configuring Risk Keywords in DataMapper
In DataMapper, you can scan for high-risk and risk documents across locations. To scan for what DataMapper categorizes as risk, it is required to have relationships entered in the 'names' section. By adding names DataMapper can identify whether a document/email contains potential sensitive data.
Below here is the procedure for configuring risk keywords. It is recommended to keep all pre-set keywords in the list until the scan is complete. When the scan is done you can continue to start sorting out which keywords cause more 'noise' than they provide you with an actual sensitive data for your company. Examples of keywords that usually make noise for some customers: virus, sick, stres, HIV, hep.
NB: It is always advised to review all risk documents across all users risk documents before starting the configuration.
Step-by-Step Guide
Step 1: Log in to DataMapper
1. Open DataMapper and log in with your credentials.
Step 2: Go to Risk Settings
1. Click on the "Names" submenu.
2. Select "Import names."
3. When you click "Import names," make sure to exclude all system accounts and names with more than three words. See the example below.
Step 3: Navigate to the Risk Keywords Section
1. In the submenu, find and click on "Risk Keywords," located next to "Names."
Step 4: Categorize and Prioritize
1. You can categorize risk keywords based on their relevance or risk level. It makes sense to look at the categories that show the most results in your risk documents, often health-related information.
2. Review each category for words after you have reviewed the documents - prioritize which keywords cause the most noise and remove those first.
Step 5: Add or Edit Risk Keywords
1. You will see a list of existing risk keywords that DataMapper comes with.
2. To add a new word, click on one of the main categories, choose whether it should be in Danish or English, and then click "Add new keyword."
3. Enter the new keyword in the relevant text field. It is not required to be GDPR relevant.
4. To edit an existing keyword, click the cross to delete/deactivate the word from the list (see below where we searched for 'virus').
5. Make the necessary adjustments as described above and click "Save changes."
NB:
- Only administrators can make these changes.
- Once changes are made to keywords and "save changes" is clicked, the system will start an update, during which no further changes can be made.
