Integration documentation for: Outlook

Below are documentation for DataMapper Integration with Outlook

1. Overview

Description:

The DataMapper platform integrates seamlessly with Microsoft Office 365 (O365) to extract and analyze data from Outlook. This integration supports both individual user mailboxes and company-wide access, ensuring comprehensive data discovery and management.

Purpose:

This integration is designed to streamline data retrieval from Outlook, allowing DataMapper to read, analyze, and manage emails efficiently. It provides robust data handling capabilities, enhancing the data governance and compliance framework for organizations using Outlook.

2. Installation and Setup

Prerequisites:

  • Microsoft Office 365 subscription
  • Access to Microsoft Azure portal
  • Admin permissions to grant necessary API permissions
  • DataMapper subscription

Step-by-Step Guide:

1. Login to Microsoft Azure Portal:

  • Go to [Microsoft Azure](https://portal.azure.com/).
  • Use your admin credentials to log in.

2. Register DataMapper Application:

  • Navigate to "Azure Active Directory" > "App registrations" > "New registration".
  • Enter a name for the application (e.g., DataMapper).
  • Select "Accounts in this organizational directory only" under supported account types.
  • Click "Register".

3. Configure API Permissions:

  • After registration, go to "API permissions" > "Add a permission".
  • Select "Microsoft Graph" > "Delegated permissions".
  • Add the following permissions:
  • `Mail.Read`
  • `User.Read`
  • `offline_access`
  • `openid`
  • `profile`
  • `email`
  • `Mail.ReadWrite`
  • Click "Add permissions".

4. Grant Admin Consent:

  • In the "API permissions" section, click "Grant admin consent for [your organization]".
  • Confirm the consent.

5. Generate Client Secret:

  • Navigate to "Certificates & secrets" > "New client secret".
  • Provide a description and select an expiration period.
  • Click "Add" and copy the client secret value. This will be used for configuring DataMapper.

6. Configure DataMapper:

  • In the DataMapper application, navigate to the O365 integration settings.
  • Enter the Azure application ID, tenant ID, and client secret.
  • Save the settings to establish the connection.

3. Functionality

Core Features:

  • Data Extraction: Retrieve emails and attachments for analysis.
  • Data Analysis: Perform content analysis and categorization of emails.
  • Data Management: Organize and manage email data within DataMapper.

How it Works:

DataMapper leverages Microsoft Graph API to access and manage Outlook data. Once permissions are granted, DataMapper can read emails, extract relevant data, and perform automated analysis. Users interact with DataMapper to configure specific data discovery tasks and view analytical results.

Use Cases:

  • Compliance Monitoring: Ensure email communications adhere to regulatory standards.
  • Data Auditing: Perform audits on email content to identify sensitive information.
  • Content Categorization: Automatically categorize emails based on predefined criteria.

4. Usage Instructions

Daily Operations

  • Access DataMapper Dashboard: Log in to view and manage email data.
  • Configure Tasks: Set up data discovery tasks to run periodically.
  • View Results: Check the analysis results and reports generated by DataMapper.

Best Practices:

  • Regular Audits: Schedule regular audits to maintain data integrity.
  • User Training: Train users on data categorization and compliance requirements.
  • Monitor Permissions: Periodically review and update API permissions as needed.

Troubleshooting:

  • Connection Issues: Verify Azure credentials and API permissions.
  • Data Retrieval Failures: Check network connectivity and Azure service status.
  • Permission Errors: Re-grant admin consent and refresh API permissions.

5. Limitations

Known Limitations:

  • API Rate Limits: Microsoft Graph API has rate limits that may impact data retrieval speed.
  • Permission Scope: Access is limited to granted permissions, which may restrict some data operations.

Compatibility Issues:

  • Older Outlook Versions: Integration is optimized for Office 365; older versions may not be fully supported.

Performance Considerations:

  • Large Mailboxes: Processing time may increase for very large mailboxes with extensive email histories.

6. Security and Compliance

Data Security:

  • Encryption: Data is encrypted during transmission and at rest.
  • Access Controls: Strict access controls are enforced to ensure data security.

Compliance:

  • GDPR: Ensures compliance with GDPR data protection requirements.
  • HIPAA: Suitable for environments requiring HIPAA compliance.

7. Costs

Additional Costs:

  • API Usage: Potential costs associated with Microsoft Graph API usage depending on the volume of data.

Licensing:

  • DataMapper Licensing: Requires an active DataMapper subscription.

Cost Management Tips:

  • Monitor Usage: Regularly monitor API usage to avoid unexpected charges.
  • Optimize Tasks: Schedule data discovery tasks during off-peak hours to manage API costs effectively.

8. Updates and Maintenance

Update Process:

  • Automatic Updates: DataMapper integration updates are handled automatically.

Maintenance Requirements:

  • Periodic Review: Regularly review and update API permissions.

Support:

  • Technical Support: Access DataMapper support through the Help Center or contact support directly.

9. FAQs

Common Questions:

  • Q: What if I can't access my email data?
  • A: Check the API permissions and ensure the client secret is valid.

  • Q: How do I update the client secret?
  • A: Follow the steps in the Azure portal to generate a new client secret and update it in DataMapper settings.
